PRIVACY POLICY
Introduction
Corporate Risk Management Solutions Pty Ltd has developed the following Privacy Policy, which, once adopted, applies to all Directors, staff and contractors employed or in the performance of their duties associated with its Clients and Policy Holders.
This Policy will be reviewed from time to time in association with our Clients and Policy Holders, with a view to ensuring it reflects accurately our commitment to the Australian Privacy Principles and Australian Privacy legislation.
1.0 Privacy Policy

Corporate Risk Management Solutions Pty Ltd is committed to providing a quality service to our Clients as well as to our client’s Policy Holders. This Privacy Policy outlines our ongoing obligations to both Clients and Policy Holders in respect of how we manage Personal Information.

Corporate Risk Management Solutions Pty Ltd have adopted the National Privacy Principles (NPPs) contained in the Privacy Act 1988 (Cth) (‘the Privacy Act’). The NPPs govern the way in which we collect, use, disclose, store, secure and dispose of a Client’s or Policy Holder’s Personal Information.

2.0 Definitions:
CLIENT:
Includes any major Australian Insurers and their respective authorised agents and employees.
POLICY HOLDER:
Includes private individuals and corporate entities who have engaged the services of a Client by means of a valid insurance policy or contract. The Policy Holder may also be referred to as “the Insured,” “Co-insured,” “Member” or other similar references.
THIRD PARTY:
Includes private individuals, corporate entities and/or other agencies that may be directly or indirectly connected to an insurance claim event, which is the subject of the Primary Purpose. This could include a vehicle driver, relevant witness, Police Officer or any other individual or body who may be able to provide pertinent information relevant to the event under investigation.
PRIMARY PURPOSE:
The primary purpose for Corporate Risk Management Solutions Pty Ltd is to conduct a professional, discreet and objective investigation into an insurance claim event, in order for the Client to make a full and fair assessment of the claim under review.
SECONDARY PURPOSE:
The secondary purpose of Corporate Risk Management Solutions Pty Ltd is to conduct professional, discreet and objective inquiries where considered necessary and appropriate, in order to achieve the Primary Purpose.
3.0 What is Personal Information and why do we collect it?

Personal Information is information or opinion that identifies an individual. Examples of Personal Information we collect may include, but is not limited to, any of the following:

Names

Addresses

Email addresses

Telephone and/or Facsimile numbers OR

Personal or any other record(s) which is/are deemed necessary and appropriate for us to carry out or Primary and Secondary Objective.

Personal Information may be obtained in many ways including interviews, correspondence, by telephone, facsimile, by email, or from media and publications, and/or from other publicly available sources and from third parties.

We collect Personal Information for the Primary Purpose of providing the required service to our Client. We may also use Personal Information for a Secondary Purpose closely related to the Primary Purpose, in circumstances where such use or disclosure would be reasonably expected to occur.

When we collect Personal Information we will, where appropriate and where possible, explain why we are collecting the information and how we plan to use it.
4.0 Sensitive Information

Sensitive information is defined in the Privacy Act to include information or opinion about such things as an individual's racial or ethnic origin, political opinions, membership of a political association, religious or philosophical beliefs, membership of a trade union or other professional body, criminal record or health information.

Sensitive information will be used by us only:

For the Primary Purpose for which it was obtained;

For a Secondary Purpose that is directly related to the Primary Purpose;

With consent or where required or authorised by law.

5.0 Third Parties

Where reasonable and practicable to do so, we will collect Personal Information only from our Client or our client’s Policy Holder. However, in some circumstances we may be provided with information by third parties.
6.0 Disclosure of Personal Information

Personal Information may be disclosed in a number of circumstances including the following:

To Third Parties where the Policy Holder consents to the use or disclosure; and

Where required or authorised by law.

7.0 Security of Personal Information

Personal Information we collect is stored in a manner that reasonably protects it from misuse and loss and from unauthorised access, modification or disclosure.

Corporate Risk Management Solutions Pty Ltd employs stringent security measures including file encryption and password protection to protect Personal Information.

When Personal Information is no longer needed for the purpose for which it was obtained, we will take reasonable steps to destroy or permanently de-identify Personal Information. However, most of the Personal Information is, or will be stored in client files, which will be kept by us for a minimum of seven (7) years.
8.0 Access to Personal Information

A Client may access the Personal Information we hold about its Policy Holder(s) and to update and/or correct it, subject to certain exceptions. If a Client wishes to access Personal Information we hold, this can be achieved through a request made in writing from the client.

Where our Client’s Policy Holder seeks to access Personal Information, we hold about them we will in the first instance refer the Policy Holder to our Client in order to obtain this information. No Policy Holder’s personal information will be released except with express permission from our Client.

Corporate Risk Management Solutions Pty Ltd will not charge any fee for a Client’s access request, but may charge an administrative fee for providing a copy of Personal Information.

In order to protect Personal Information, we may require identification before releasing the requested information.
9.0 Maintaining the Quality of Personal Information

It is important to us that Personal Information is up to date. We will take reasonable steps to ensure that Personal Information is accurate, complete and up-to-date. If a Client or Policy Holder finds that the information we have is not up to date or is inaccurate, the client has the ability to advise us as soon as practicable to ensure our records are updated to ensure we can continue to provide a quality service.
